Wellnergy Code Of Conduct

1. Purpose

This Code of Conduct outlines the standards of behaviour expected of all individuals working with or representing Wellnergy.

Its purpose is to:

  • Protect the safety, wellbeing, and dignity of all participants

  • Provide clear expectations for professional conduct

  • Support a safe, inclusive, and respectful environment

  • Protect the reputation and integrity of Wellnergy

2. Scope

This Code applies to all Wellnergy events and any event where Wellnergy has a presence, collaboration, or partnership.

It applies to:

  • Facilitators, teachers, healers, and space holders

  • Directors, Members, and Management Team

  • Volunteers and contractors

  • Stall holders, performers, artists, and partners

This Code applies:

  • On-site at events

  • During event-related travel or accommodation

  • In digital communication, including email, messaging, and social media

  • Before, during, and after events where conduct relates to Wellnergy

All individuals must read, understand, and agree to this Code before participating.

3. Core Standards of Behaviour

All individuals are expected to:

  • Act with honesty, integrity, and professionalism

  • Treat others with dignity, fairness, and respect

  • Prioritise physical, emotional, and psychological safety

  • Be mindful of the impact of their behaviour on others

  • Take responsibility for their actions

Unacceptable behaviour includes, but is not limited to:

  • Harassment, intimidation, or abuse

  • Discrimination or exclusion

  • Bullying, gossip, or defamation

  • Misuse of power or authority

  • Any behaviour that risks harm to individuals or the community

4. Inclusion and Anti-Discrimination

Wellnergy is committed to creating an inclusive environment where everyone feels welcome and safe.

All individuals must:

  • Actively include participants of all backgrounds and abilities

  • Use respectful and inclusive language

  • Avoid assumptions about identity, experience, or capability

  • Offer modifications and alternatives where appropriate

Facilitators should:

  • Encourage participants to work within their own capabilities

  • Provide options and adaptations where possible

  • Create a non-judgemental environment

Discrimination, whether direct or indirect, is not tolerated.

5. Professional Boundaries and Duty of Care

Facilitators and team members hold a position of trust and must act responsibly.

You must:

  • Maintain clear and appropriate professional boundaries

  • Treat all attendees equally, regardless of personal relationships

  • Avoid favouritism or exclusion

  • Not exploit trust, vulnerability, or dependency

You must not:

  • Use your role for personal, financial, or emotional gain at the expense of others

  • Form relationships that compromise professional judgement or safety

Hands-on interaction:

  • Must be appropriate to the setting

  • Must be clearly explained

  • Must only occur with informed, explicit, and ongoing consent

Participants must always feel able to decline or withdraw consent without pressure.

6. Sexual Harassment and Misconduct

Wellnergy has a zero-tolerance approach to sexual harassment and misconduct.

This includes:

  • Unwanted physical contact

  • Sexual comments, jokes, or gestures

  • Persistent or unwanted advances

  • Suggestive messages or communication

  • Abuse of power in any sexual context

Facilitators and team members must not:

  • Engage in sexual or romantic relationships with attendees or volunteers during events

  • Use their position to initiate or pursue such relationships

Sexual misconduct may result in:

  • Immediate removal from site

  • Termination of role or contract

  • Banning from future events

  • Referral to police or relevant authorities

7. Safeguarding

Safeguarding is a core responsibility of everyone involved in Wellnergy.

All individuals must:

  • Remain alert to signs of harm, abuse, or vulnerability

  • Act promptly if concerns arise

  • Report concerns to a designated safeguarding lead or Director

Key principles:

  • Take all concerns seriously

  • Do not investigate independently

  • Record factual information where appropriate

  • Maintain confidentiality while prioritising safety

Safeguarding concerns override standard confidentiality where necessary to prevent harm.

8. Confidentiality and Data Protection

All personal, sensitive, or internal information must be handled with care.

You must:

  • Keep personal information confidential

  • Share information only when necessary and appropriate

  • Comply with applicable data protection laws

  • Avoid sharing private communications, images, or screenshots

Confidential information includes:

  • Personal disclosures

  • Safeguarding reports

  • Internal communications

  • Business or operational information

Confidentiality obligations continue after your role ends.

9. Scope of Practice and Communication

All individuals must operate within their level of competence.

You must:

  • Only provide guidance within your qualifications and experience

  • Not diagnose or prescribe unless appropriately qualified

  • Not advise participants to ignore medical advice

  • Refer individuals to appropriate professionals when needed

Communication must be:

  • Honest and accurate

  • Respectful and culturally aware

  • Free from misleading or exaggerated claims

Gossip, rumours, or unverified claims are not acceptable.

10. Financial, Insurance and Professional Requirements

All relevant individuals must:

  • Hold appropriate and valid qualifications

  • Maintain up-to-date insurance

  • Comply with legal and regulatory requirements

  • Provide documentation when requested

You must:

  • Represent your services truthfully

  • Conduct business fairly and transparently

  • Avoid misleading advertising

11. Reporting Concerns

All individuals have a responsibility to report concerns.

Concerns may include:

  • Safeguarding issues

  • Harassment or discrimination

  • Breaches of this Code

  • Unsafe or inappropriate behaviour

Reports can be made to:

  • A Director

  • A designated safeguarding lead

Reports will:

  • Be taken seriously

  • Be handled sensitively and confidentially where possible

  • Be reviewed promptly

Anonymous reports may be considered, though this may limit investigation.

12. Investigations and Outcomes

When a concern is raised:

  • An investigation will be conducted proportionately

  • All parties will be treated fairly and respectfully

  • Decisions will be based on available evidence

Possible outcomes include:

  • Informal resolution or guidance

  • Additional training or supervision

  • Formal warning

  • Removal from event

  • Termination of involvement

  • Exclusion from future events

  • Referral to external bodies or authorities

13. Anti-Retaliation

Retaliation against anyone who raises a concern is strictly prohibited.

This includes:

  • Intimidation

  • Exclusion

  • Threats or negative treatment

Any retaliation will be treated as a serious breach of this Code.

14. Use of Media and Social Presence

All individuals must act responsibly in relation to media and online activity.

You must:

  • Not take photos or videos of participants without permission

  • Respect event photography policies

  • Ensure social media activity does not harm individuals or Wellnergy

Content that is offensive, discriminatory, or damaging to reputation may result in action.
